Secretary to the Trust (Paid Role)

The role involves the following responsibilities:

• Working with the Chair to make administrative arrangements for bi-monthly trustee meetings e.g. preparing agendas, taking minutes and circulating them.

• Maintaining records of trustee meeting minutes and related documents

• Maintaining records dealing with the CIO status

• Working with the Museum Administrator to ensure all third party paperwork is dealt with

It is essential that the ideal candidate has the following skills:

• Organisational ability

• Knowledge or experience of business and committee procedures

• Minute-taking experience

• Effective communication skills

• Good numeracy skills

Time commitment:

Approx 8 hours per month

Desirable skills:

• Experience of being a Secretary of a charity.

Finance Trustee Director

The museum is the only military museum in the county and has a small dedicated team of staff and volunteers. The Trust are currently recruiting new Board members to oversee the next stage of our development.

Duties include:
• Overseeing the financial affairs of the organisation.
• Act as Chairman of the Finance Committee and call meetings of this committee.
• Ensuring proper records are kept and effective financial procedures are in place.
• Work with the Museum Director to produce a 5-year business plan with appropriate forecasts.
• Liaising with the organisation’s auditor.
• Ensuring the Finance Committee perform their functions such as maintaining and updating Risk Register and Asset Register.
• Monitoring and reporting on the financial health of the organisation to the Board and other parties as necessary.
• Overseeing the production of financial documents.
• Providing advice and projections to the Board.
• Ensuring all charity paperwork is submitted as required.
• Act as signatory as required and ensure prompt authorisations of payments prepared by the Museum Administrator.
• Be a board member.

The part time Museum Administrator deals with all day to day financial accounting including banking and payroll.

Number of meetings per annum/time commitment: Board meetings are currently held bi-monthly for two hours but these will be quarterly once Board recruitment is completed.
The Finance Committee meet for one hour bi-monthly.
Meetings: Virtual for the foreseeable future.

Education and Learning Trustee 

The museum is the only military museum in the county and has a small dedicated team of staff and volunteers. The Trust are currently recruiting new Board members to oversee the next stage of our development.

Specific Duties include:

• Support the Museum Director and staff in strategically planning the role and direction of the education and learning department in keeping with the museum’s ethos.

• Liaise with schools, colleges and teachers to understand the curricula and explore the links between the Museum’s capacity and capability to meet or assist the schools in meeting the requirements of the curriculum and to promote the use of the collections and activities of the museum in line with the national curriculum.

• Support the museum team to launch new initiatives such as working with new communities

• Offer advice to the museum staff to develop and market the museum and the learning events programme

• Represent and promote the museum in order to establish a network of useful and productive partnerships.

• Attend Board meetings.

• Number of meetings per annum/time commitment:

• Board meetings are currently held bi-monthly but these will be quarterly once recruitment is completed.

Meetings: Virtual for the foreseeable future.
